Slay Your Schedule With These 3 Tips

It’s time to take control of your schedule by scheduling smarter, not working harder. Here are three tips that will help your UPbook front-desk team to slay the schedule every day:

Set Some Ground Rules

First, it’s important to make sure that every member of your UPbook team is on the same page, from managers to front-desk staff. Set a few “ground rules” that apply to your business’s schedule. For example:

“Our goal is to fill every appointment slot, every day.”

“It’s okay to double-book clients when they have an urgent or emergency need.”

“New clients should be booked within three days of the initial call.”

By following these rules, every team member takes the same approach when it comes to scheduling clients.

Condense the Schedule

Condensing your UPbook business’s schedule wherever you can is another way to maximize efficiency. Book appointments next to one another, rather than scheduling at random intervals—this is also called chain-booking. This way, empty time gaps are closed, and your team has larger blocks of free time to devote to other things.

Book similar types of appointments next to one another. This allows your UPbook team to use the same equipment during consecutive appointments, rather than putting everything away and then having to set up all over again.

You might even try adjusting your UPbook team’s own schedule. Stagger lunch break times so that you can keep your business open over lunch… this lets you squeeze in a few more appointments every day, and that can make a huge difference.

Use the Right Language

Have your team brush up on their verbal skills at the front desk (the UPbook program can also help with this!). Instead of “Do you want to reschedule?” have staff say: “Let’s get you rescheduled.” Rather than “What time works for you?” say “We have availability at 9:30 or at 2:00.”

Language like this puts your UPbook team members in control of the schedule. That way, you can schedule to your needs—that might be a certain number of appointments per day, or a certain dollar amount throughout the week.
